Privacy Policy

How we handle personal information collected through this website. In short: we collect only what you send us, we do not track you, and we do not share your details with anyone who is not helping us reply.

Who is responsible for your information

Flowtera Solutions is the responsible party (the data controller) for the personal information described in this policy. We are a ServiceNow consulting and implementation company based in Johannesburg, South Africa.

What we collect

We only collect personal information that you choose to give us. When you contact us through this website or by email, that is typically:

  • Your name
  • The organisation you represent
  • Your business email address
  • Your telephone number, if you choose to provide it
  • The subject of your enquiry and the message you write

We do not ask for, and you should not send us, special categories of personal information such as health, financial account, biometric or identity-document details.

What we do not do

This website is deliberately simple, and it is worth being specific about what that means:

  • We set no cookies. There is no consent banner because there is nothing to consent to.
  • We run no analytics, advertising or visitor-tracking software of any kind.
  • We embed no third-party scripts, pixels, social widgets or embedded media. Fonts are served from our own domain, so loading a page contacts nobody but us.
  • We do not build profiles, make automated decisions about you, or sell or rent personal information to anyone.

Why we use it, and on what basis

We use the information you send solely to read, assess and respond to your enquiry, and to continue any conversation or engagement that follows from it. We do not add you to a marketing list without your agreement.

Our lawful basis is your consent, given when you choose to contact us, together with our legitimate interest in responding to business enquiries addressed to us. You may withdraw consent at any time by emailing us; doing so does not affect anything done before you withdrew it.

Who else processes it

We keep the number of parties involved as small as we practically can. The following providers process information on our behalf, and only to make this website and our email work:

  • Vercel — hosts this website. Like any web server, it records standard technical request logs, which may include IP address, browser type and the pages requested. These are used for security and for operating the service, and are retained for a short period.
  • GoDaddy — provides our email service, so any message you send us is stored in our mailbox there.
  • Our transactional email provider — where the website contact form is enabled, it passes your submission to an email delivery service purely to place it in our inbox.

These providers operate servers outside South Africa, including in the European Union and the United States, so your information may be transferred to and stored in those countries. We rely on their contractual data protection commitments, which require a level of protection comparable to that required by South African law.

We may also disclose information where the law requires it, or where it is necessary to establish or defend a legal claim.

How long we keep it

Enquiry correspondence is kept for as long as we need it to deal with your enquiry and any resulting relationship, and after that only for as long as we have a legitimate business or legal reason to keep it. Where an enquiry does not lead to an engagement, we delete it once it is clear that no further contact is expected. You can ask us to delete it sooner at any time.

Keeping it secure

This site is served only over HTTPS, and access to our mailbox is restricted and protected by multi-factor authentication. No system is perfectly secure, but we take technical and organisational measures appropriate to the limited information we hold.

Your rights

Under the Protection of Personal Information Act (POPIA), and under the GDPR where it applies to you, you have the right to:

  • Ask what personal information we hold about you, and receive a copy of it
  • Have inaccurate or incomplete information corrected
  • Ask us to delete information we no longer have good reason to keep
  • Object to our use of your information, or ask us to restrict it
  • Withdraw your consent at any time
  • Receive the information you gave us in a portable format, where applicable

Email info@flowterasolutions.com to exercise any of these. We will respond within a reasonable period, and in any event within the time the law allows.

If you are not satisfied with our response, you may complain to the Information Regulator (South Africa), or to your local data protection authority if you are in the European Union or the United Kingdom.

Children

This website is aimed at organisations and business contacts. It is not directed at children, and we do not knowingly collect information about them. If you believe we have, please tell us and we will delete it.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date at the top. Where a change is significant, we will say so rather than leaving you to spot it.
